Job Overview

The Account Clerk will a crucial role in the financial management of the organization.
Reporting directly to the Executive Director, the Account Clerk is responsible for assisting in maintaining accurate financial records, processing transactions, and supporting financial reporting activities.
This role requires meticulous attention to detail, excellent organizational skills, and a strong understanding of accounting principles.

Key Responsibilities

Financial Record Keeping:

Maintain and update financial records, including ledgers, journals, and databases.
Ensure accuracy and completeness of financial data by regularly reconciling accounts and bank statements.
Organize and maintain physical and electronic financial files and documentation.
Providing accounting and clerical assistanceto the accounting department

Transaction Processing:

Process accounts payable and accounts receivable transactions promptly.
Verify and reconcile invoices, purchase orders, receipts, and other financial documents.
Verify and post details about transactions, such as funds received and disbursed, expense claims and advances on ERP.
Prepare and process payment vouchers, checks, and electronic transfers as required.

Budget Monitoring and Reporting:

Assist in monitoring budget expenditures and tracking financial performance against budgetary targets.
Prepare financial reports, summaries, and analyses as directed by the Executive Director.
Contribute to the preparation of program budgets and forecasts.

Financial Administration Support:

Assist in the preparation of financial statements and reports for internal and external stakeholders.
Provide support during audits by gathering necessary documentation and responding to auditor inquiries.
Assist in implementing financial policies, procedures, and controls to ensure compliance with regulatory requirements and organizational guidelines.

Communication and Collaboration:

Liaise with state officers to gather financial information and support out-station collaboration.
Communicate effectively with vendors, Field Officers, and partners regarding financial matters.

Qualifications and Requirements

Bachelor's Degree in Accounting, Finance, or related field preferred.
Proven experience working in accounting or finance, preferably in an NGO or nonprofit environment.
Proficiency in accounting software and Microsoft Office suite (Excel, Word, Outlook).
Strong numerical aptitude and attention to detail.
Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
Effective communication and interpersonal skills.
Ability to work independently as well as part of a team.
