Background

Since 2008, Malaria Consortium has been supporting Nigeria in her malaria control/eradication efforts through preventive and curative/case management strategies, while supporting implementation at the health facility and community levels. Malaria Consortium has been involved in mass campaigns of Insecticide treated Net (ITN) and seasonal malaria chemoprevention (SMC) using sulphadoxine pyrimethamine + amodiaquine (SPAQ). Furthermore, Malaria Consortium has also been supporting Nigeria in the areas of integrated community case management (iCCM), community health influencers, promoters, involved in health facility-based interventions for uncomplicated and severe malaria, and community-based interventions including ITN campaigns, SMC, iCCM and severe acute malnutrition (SAM). The states that would be covered with MC/PF-SMC funding in 2024 are Bauchi, FCT, Oyo, Kebbi, Kogi, Nasarawa, Plateau and Sokoto.
Purpose of the Assignment

To provide admin and operational support to the Country office Operations unit.

Specific Activities for the Personnel

The specific task for the Administrative Support Consultant will be as follows.

Receive briefing on daily task from the Admin/Operations focal point.
Liaise with the Procurement & Admin Officers in coordinating vendor payments and administrative tasks for SMC Philanthropic Funding project.
Review, scanning, and printing of support documents for SMC related payments and share same with the senior procurement officer for confirmation and onward presentation to finance for final payment.
Ensures proper filing of SMC related support documents for payments.
Support the logistics officer in collating all Travelers’ boarding passes and filling same into the folder as directed by the logistics and admin officer.
Support the logistics officer in collating all supporting documents on logistics related service engagement for vendor payment processing.
Support the senior admin officer in confirming and Reconciling of all PF-SMC asset/inventory in Abuja office and ensure that they are physically tagged in accordance to the allocated asset/inventory tags in the PF-SMC register.
At the directive of the senior admin officer, support in computing monthly generator timing record.
Perform other administrative and operational duties as may be assigned by the operations teams.
Review all the task and submit report.

Deliverables

At the end of the assignment, the expected deliverables include:

Ensure completeness of documentation for all final vendor payments
Assignment report on the status of all vendor payments

Timelines for Activities:

The timeline for the assignment is January - April 2024.

Number of Contractual TA-Days:

Administrative Support Consultant - 60-days.

Qualifications and Experience

Bachelor's Degree in any discipline, preferably Social or Management Sciences.
At least 1 year experience in a similar role.
Good use of Microsoft Office Suite
Good interpersonal communication and planning skills.
Previous experience in office administrative support; and
Possess good understanding, knowledge and experience in document control and management.
