Job Summary
We are seeking a meticulous and organized Documentation Specialist who has worked in an Exporting Company.
The ideal candidate will be responsible for organizing, storing, and retrieving documents while ensuring their accuracy, accessibility, and compliance with company policies and regulations.
Responsibilities
Develop and implement document management policies and procedures.
Review and edit documentation for accuracy, completeness, and consistency.
Ensure proper classification, filing, and storage of both physical and digital documents.
Maintain a well-organized document database or library, including indexing and archiving.
Monitor document usage, access, and retention to ensure compliance with legal and regulatory requirements.
Collaborate with departments to establish document templates, formats, and styles.
Train employees on document management procedures and best practices.
Conduct regular audits of document management systems to identify and address potential issues.
Assist with document retrieval requests from employees and external stakeholders.
Qualifications
HND or B.Sc in Accounting or relevant field.
4 - 7 years of work experience.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Proficiency in document management software and tools.
Strong Proficiency in Excel
Knowledge of document retention and disposal policies.
Ability to work independently and as part of a team.
Strong communication and interpersonal skills.
Desired Skills:
Experience with documents with an exporting company is key.
Knowledge of information management systems (IMS).
Familiarity with Export industry-specific documentation standards.
