Job Summary
The Executive Assistant provides high-level administrative support ensuring the efficient operation of the executive office. This role involves managing schedules, coordinating meetings, handling communications, and undertaking special projects.
Job Details
Provide comprehensive administrative support to the Executive, including managing calendars, scheduling appointments, and coordinating meetings.
Handle incoming and outgoing communications, including emails, and correspondence. Screen and prioritize messages and requests.
Prepare agendas, organize meeting materials, and take minutes during meetings. Follow up on action items and ensure timely completion.
Organize and manage travel itineraries, including booking flights, accommodations, and transportation.
Prepare, edit, and proofread reports, presentations, and other documents. Ensure proper filing and documentation of important records.
Assist in planning and organizing company events, conferences, and functions attended by the Executive.
Handle sensitive and confidential information with utmost discretion and professionalism.
Act as a point of contact between the Executive and internal/external stakeholders, ensuring effective communication and relationship management.
Assist with special projects and initiatives as directed by the Executive, including research, data analysis, and report generation.
Oversee the executive office's day-to-day operations, including ordering supplies, maintaining office equipment, and ensuring a tidy work environment.
Assist with personal tasks for the Executive as needed.
Requirements
Bachelor's degree in Business Administration, Management, Engineering or closely related field from a recognised tertiary institution.
Not more than 2 years of experience in an administrative or executive assistant role.
Minimum of Second-Class Upper Division (2:1) or equivalent GPA.
Must have completed NYSC as at the time of application
