Job Summary


We are seeking a proactive and highly organized Executive Assistant to support the Managing Director. 
The successful candidate will be responsible for managing a broad range of administrative and executive support tasks, ensuring the MD’s time and priorities are effectively aligned with business objectives. 
This role requires a high level of professionalism, discretion, and a strong understanding of technical or project-based environments.


Key Responsibilities


Executive Support: Provide high-level administrative assistance to the MD, including managing calendars, scheduling meetings, and handling correspondence.
Project Coordination: Liaise with project managers, engineers, and clients to track project timelines, deliverables, and reports as directed by the MD.
Meeting Management: Organize and prepare materials for internal and external meetings, take minutes, and follow up on action points.
Communication & Documentation: Draft and review reports, memos, and communications; ensure accuracy and alignment with the firm’s standards.
Travel & Logistics: Coordinate complex travel arrangements, site visits, and logistics for the MD and project stakeholders.
Confidential Records Management: Maintain and safeguard confidential documents including contracts, proposals, and legal agreements.


Qualifications & Requirements


Bachelor's Degree in Business Administration, Secreterial Administrationor related discipline.
Minimum of 1 – 2 years experience supporting C-level executives, preferably within the engineering, construction, or technical services sector.
Excellent organizational, time-management, and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management tools is an added advantage.
Ability to understand technical terminology and documentation.
High level of integrity, confidentiality, and professionalism.
