Responsibilities
Visitors Reception
Serves visitors by greeting, welcoming, and directing them appropriately;
Notifies company personnel of visitor arrival;
Maintains security and telecommunications system.
Call Management
Ensure that incoming calls are answered promptly;
Ensure that reception area is manned at all times during working hours;
Records every call (official calls) that comes in, in the absence of any personnel concerned;
Records every call (outgoing) and the caller’s name;
Ensure proper functioning of the PABX at all times.
Reception Area Management
Ensure cleanliness of the reception;
Managing the front office;
Visitor/customer management;
Mail management and procedural support;
Carry out any other jobs as may be assigned.
Personal Assistant to MD
Provide support to MD on administrative tasks
Coordinate and prioritize MD’s schedule and activities to ensure optimal use of time
Plan, organize travel itinerary and flights, accommodation and transportation.
Ensure MD’s office is clean and organize at all times.
