Job Overview
The Operations/Admin Assistant will be responsible for providing efficient and organized administrative support to the team. Daily tasks may include managing calendars, scheduling appointments, answering phone calls, maintaining records, monitoring customer requests and assisting in various administrative and clerical tasks.
Responsibilities and Duties
Admin
Schedule appointments, manage calendars, and make travel arrangements for staff.
Manage office systems, including filing (physical and digital), correspondence, and supplies.
Draft professional emails and letters, presentations, and reports for the Head of Operations
Answer phones and emails promptly and professionally, directing inquiries to the appropriate staff member.
Coordinate meetings and events, preparing agendas, and taking minutes.
Maintain filing systems (physical and digital) for efficient document retrieval.
Operations
Assist with project management tasks such as data entry, creating reports, and maintaining project timelines.
Liaise with production on inventory requirements and production scheduling
Process and manage paperwork, including invoices, purchase orders, and expense reports.
Maintain an accurate record of inventory and ensure control systems.
Any other duties as may be assigned by the Operations Lead.
Qualifications
Strong attention to detail
Proficiency in clerical skills such as data entry and file management
Some record keeping experience is required.
Must be good with numbers.
Excellent problem-solving and decision-making skills
Effective communication and interpersonal skills
Ability to manage and prioritize multiple tasks simultaneously
Strong work ethic and commitment to quality
Ability to work independently and as part of a team
Excellent organizational skills and time management
Proficiency in Microsoft Office Suite and Google Sheets.
